Volunteer Coordinator and Event Coordinator Positions

Northwest VEG, a non-profit 501(c)(3) organization, is seeking two part-time employees or one nearly full-time employee to serve as our Volunteer Coordinator and Event Coordinator. We are seeking employees who are passionate about promoting a 100% plant-based diet for a healthy, sustainable, and compassionate world.

The part-time positions will average 15-20 hours each per week over the course of the year, or if one person fills both positions it will average out to 30-35 hours per week, with the busiest time of year being July-September. Northwest VEG does not have an office. Each employee must be able to work from his/her own home. Applications are due by Wednesday, February 1, 2012.

The Volunteer Coordinator oversees the volunteer program and recruits, motivates, trains and supervises volunteers for Northwest VEG events, programs, and projects. The Event Coordinator is involved in all aspects of coordinating Northwest VEG's annual 2-day VegFest, Race for the Animals, Compassionate Thanksgiving, and other annual events.

Applicants must be friendly and outgoing with good interpersonal skills, be well-organized, self-motivated and effective communicators.

VOLUNTEER COORDINATOR RESPONSIBILITIES:

  1. Coordinate volunteer efforts for VegFest. This will involve recruiting and coordinating the activities of literally hundreds of volunteers.
  2. Recruit, screen, train and support volunteers and focus on filling and supporting key volunteer positions.
  3. Coordinate, schedule, and oversee volunteer efforts for most Northwest VEG events, programs and projects (such as Master Vegetarian Program, annual events, tabling events, etc.).
  4. Create, review and update volunteer job needs and job descriptions.
  5. Manage database of volunteers and information about their skills and preferences for volunteering. Track and record volunteer hours performed for Northwest VEG.
  6. Provide positive reinforcement to volunteers and create and implement volunteer recognition opportunities, including annual Volunteer Appreciation Party.
  7. Identify community outreach opportunities and evaluate which would be the most effective at promoting Northwest VEG’s message. Maintain a schedule of opportunities.
  8. Regularly write articles about volunteers, volunteer events and volunteer opportunities for the monthly newsletter and the website.
  9. Actively participate in board meetings, retreats, and other meetings as requested.
  10. Keep up website calendar with appropriate volunteer and education/outreach events.
  11. Maintain and stock tabling kits; order materials as needed.
  12. Potentially share in some of the Event Coordinator duties.
  13. Other duties as assigned.

EVENT COORDINATOR RESPONSIBILITIES:

  1. Coordinate annual VegFest. Duties include: develop and manage budget, organize agenda and committee meetings, serve on committees, act as liaison to convention center, maintain event-related information on website, manage registration, and other related tasks.
  2. Maintain content on Northwest VEG’s website such as posting events, news articles, and other related information.
  3. Supervise all Northwest VEG events such as Compassionate Thanksgiving, 4th of July potluck, Race for the Animals, and others.
  4. Assist in organizing annual Volunteer Appreciation Party.
  5. Answer inquiries and follow up with Northwest VEG phone line and info line email account.
  6. Coordinate and assist with the creation and editing of the hardcopy and online monthly newsletter.
  7. Participate in the development of the annual budget. Provide leadership in developing program and organizational plans.
  8. Actively participate in board meetings, retreats, and other meetings as requested.
  9. Establish and maintain sound working relationships and cooperative arrangements with community groups, organizations, and businesses.
  10. Maintain a working knowledge of developments and events in the field.
  11. Potentially share in some of the Volunteer Coordinator duties.
  12. Other duties as assigned.

REQUIRED ABILITIES:

  • Excellent time management and organizational skills.
  • Ability to effectively manage a wide array of tasks, projects and responsibilities.
  • Ability to effectively communicate orally and in writing.
  • Ability to work well with a diverse group of volunteers.
  • Willingness to adjust hours to accommodate the needs of the job.
  • Proficient in basic computer applications, such as word processing, spreadsheets, email, and Internet usage. Experience with social media platforms desirable.

WORKING CONDITIONS: Work mainly indoors performing management, training and administrative duties, with some outdoors work at events. Weekend and some evening work required. Northwest VEG is an equal opportunity employer.
  • Pay rate: $13.00 - $15.00/hour, depending on experience.
  • All applicants will be expected to work from his/her own home.
  • Applicants will need to provide his or her own computer and Internet connection and cell phone.
  • Applicants must have reliable transportation for transporting equipment to outreach events in the Portland Metro area (Volunteer Coordinator only).

  • Which position(s) applicant is applying for: 1) Combined position (nearly full-time) or 2) Volunteer Coordinator (only) or 3) Event Coordinator (only).
  • Information regarding passion for Northwest VEG’s mission.
  • Experience working with people, including any experience working with volunteers.
  • Experience coordinating events and working with committees.
  • Experience volunteering and/or working with non-profit organizations.
  • Any experience using computers, including word processing, spreadsheets, databases, or work on websites, social media, and other skills and experience that would be of value in completing this work.

In addition, either the resume or the cover letter should include at least three professional references, education, and employment experience.
