Donations to NW VEG’s New Member Welcome Bag (swag bag) made up of gifts from exhibitors and non-exhibiting companies are a great way to introduce your brand directly to engaged attendees. Swag Bags will be distributed to new members who join Northwest VEG during Northwest VegFest and may include plant-based product samples, coupons, promotional materials, or other items. We are seeking donations of 350 items for inclusion, providing an excellent opportunity to build brand awareness, encourage product trials, and connect with a highly interested audience. Whether or not you have a booth at the event, a Swag Bag contribution offers a cost-effective way to participate and make a lasting impression.

Northwest VEG welcomes sponsors, exhibitors, and restaurants who are compatible with our mission and goals of VegFest. We require that all materials, literature, and handouts reflect these values.

Space will be tentatively reserved upon approval of application and fully reserved upon receipt of invoice payment. 

Refunds of 100% will be provided to sponsors, exhibitors, and restaurants who submit written cancellation on or before July 1, 2026. Refunds of 50% will be provided to sponsors, exhibitors, and restaurants who submit written cancellation after July 1, but on or before August 14, 2026. No refunds will be available after August 14.

Northwest VEG will have coordinators to answer questions and provide direction at the Wingspan Event and Conference Center There will be limited volunteer assistance for unloading. Sponsors are responsible for setup and breakdown of their exhibits.

Applications are reviewed for acceptance and applicant will be notified by email as to application status and for payment details. Northwest VEG reserves the right to decline any exhibitor at any time, at its discretion.

The venue is on the Max Line which stops about 100 meters from the front door. Car pooling and public transport are encouraged. On-site parking for VegFest attendees and vendors is free.
